# Glossary

Plain-language meanings for the business terms used in Dukarun.

## Account balance

The amount currently held in or owed on an account. A customer balance can include unpaid invoices and available downpayments. A supplier balance can include unpaid purchases and recorded payments.

## Available credit

The part of a customer's approved credit limit that is still available. It normally falls after a credit sale and rises after the customer pays.

## Barcode

A code that a scanner or camera can read to identify a product variant. Each sellable variant should have one unique barcode.

## Cash received

Money the business has actually collected. A credit sale can record revenue before cash is received.

## Cash sale

A sale paid in full when it is completed. The payment may be cash, M-PESA, or another immediate payment method available to the business.

## COGS

Cost of goods sold. This is the recorded cost of the stock sold during a selected period. It is not the selling price and it does not include general expenses such as rent or electricity.

## Credit limit

The maximum unpaid customer balance allowed by a credit policy. A supplier credit limit records the cap agreed with that supplier. In Dukarun, zero means no fixed cap is configured. Customer credit approval is controlled separately.

## Credit purchase

A purchase where the business receives goods or services now and pays some or all of the supplier's bill later.

## Credit sale

A completed sale where the customer pays some or all of the amount later.

## Customer

A person or business that buys from you. A customer account can hold contact details, credit terms, sales, payments, and an unpaid balance.

## Downpayment

Customer money available to apply to a sale or invoice. In Dukarun, any part of a customer payment left after clearing open invoices can remain available as a downpayment.

## Gross margin

Sales revenue minus cost of goods sold for the same period. Dukarun reports the value in Kenya shillings. It does not subtract general business expenses such as rent, salaries, or electricity.

## Inventory tracking

Keeping a running stock quantity for a product variant. Purchases increase it, sales decrease it, and adjustments or transfers can change it.

## Invoice

A record of goods or services sold or bought and the amount due. An open invoice still has an unpaid amount.

## Overdue

Past the agreed payment date. An overdue customer invoice still needs to be collected. An overdue supplier bill still needs to be paid.

## Payable

Money the business owes a supplier. An unpaid credit purchase creates a payable. Recording the supplier payment reduces it.

## Payment terms

The agreed number of days allowed before payment is due.

## Product

An item or group of related items that a business buys or sells. For example, "Dola Maize Flour" can be a product.

## Receivable

Money a customer owes the business. An unpaid credit sale creates a receivable. Receiving the customer's payment reduces it.

## Revenue

The value of completed sales in a selected period. Revenue is recorded when a sale is completed, even when a credit customer will pay later.

## Selling price

The amount charged to the customer for one unit of a product variant before any sale-level change.

## Stock location

A shop, stockroom, or warehouse where tracked stock is kept.

## Stock on hand

The quantity of a tracked product variant currently recorded at a stock location.

## Supplier

A person or business that provides the goods or services your business buys.

## Till

The working cash account used to receive or pay money during a shift. A business using till control may require a till to be opened before taking or making a payment.

## Unit cost

What the business paid or expects to pay a supplier for one unit. Dukarun uses recorded costs when calculating stock value and cost of goods sold.

## Variant

A specific sellable version of a product, such as a size, colour, or pack size. For example, "2 kg" can be a variant of Dola Maize Flour. Stock quantities, prices, SKUs, and barcodes belong to the variant.
